KHUKHO'S Financial Services ("KHUKHOS", "we", "us") respects your privacy and is committed to protecting your personal information in accordance with the Constitution of the Republic of South Africa, the Protection of Personal Information Act, 2013 (POPIA) and the General Data Protection Regulation (GDPR) where applicable.
This Privacy Policy explains how we collect, use, share and safeguard your personal information when you use our website, secure client workspace and financial management services.
We collect information you provide directly to us, such as your name, company name, email address, mobile number, business profile details, tax references and financial documents. We also collect information automatically when you use our platform, including IP address, browser type, device information and usage data collected via cookies and similar technologies.
We use your personal information to deliver financial management services, process enquiries and quotations, manage compliance and reporting, communicate with you, operate and secure the client workspace, meet legal and regulatory obligations, and improve our services. We do not sell your personal information to third parties.
We process your personal information based on your consent, to perform a contract with you (the provision of financial services), to comply with legal obligations under South African tax and company law, and to pursue our legitimate interests in operating a secure and compliant practice.
We share personal information only where necessary: with SARS and other regulatory authorities where required by law, with trusted service providers who act on our instructions under confidentiality obligations (such as cloud storage and analytics providers), and where required to prevent fraud or comply with the law.
We implement reasonable technical and organisational measures to protect your personal information, including encrypted document storage, access controls, secure messaging and regular reviews of our information security practices. No method of transmission or storage is completely secure, but we strive to protect your information using commercially acceptable means.
We retain your personal information for as long as necessary to provide our services and to comply with legal, tax and regulatory obligations under South African law, including the retention periods required by the South African Revenue Service and the Companies Act. When information is no longer required, we securely delete or anonymise it.
You have the right to access, correct or delete your personal information, object to or restrict certain processing, and withdraw consent where processing is based on consent. To exercise these rights, contact us using the details below. We will respond within a reasonable time and in accordance with POPIA.
We use third-party services such as Google Drive for document collaboration and analytics providers for usage insights. These providers process information under their own privacy policies. We share only the information necessary to provide the relevant functionality.
Our services are intended for businesses and individuals who are 18 years or older. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us so we can delete it.
We may update this Privacy Policy from time to time. We will indicate the "Last Updated" date at the top of this page and, where material, notify you of significant changes. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
